Fuel your Brain 🧠
✅ Inbox Redesign to My Tasks. By far the biggest change that everyday Workday users will see is the new My Tasks functionality. That’s right, the Inbox we all know and may or *may not* love will officially be deprecated in 2024R1. Workday boasts that My Tasks offers a more streamlined UI, allowing high-volume users to search, filter, and sort tasks. If you haven’t already, make sure you have the proper change management protocols in place to get your user base ready for the shift.
✅ Period Schedules. Period schedules will impact Payroll, Absence, and Time Tracking. If you’re reading this and you have NOT reviewed and/or updated your period schedules for 2024, what are you waiting for? They literally impact how your people get paid 💵
✅ Scheduled Future Processes. Configurable alerts, integrations, scheduled reports, learning campaigns, and more. Typically, Workday allows you to schedule a process for 12 months. It never hurts to double-check any processes that are expiring, and you can extend them en masse using the Mass Update Scheduled Future Processes task. You’re welcome 🤝
✅ Update 2024 Benefits Information. You probably already launched, closed, and finalized 🏥 open enrollment for 2024. If not, this is your reminder to do so❗️But did you update your enrollment instructions for new hires? How about replacing any old Benefit files that users can find on the Benefits worklet? Oh, and don’t forget to monitor your November/December hires to make sure they’re seeing 2024 FSA/HSA plans. And pay it forward ⏩ let your friends in Payroll know of any deduction limits that need to be updated to avoid cleanup next year.
✅ Test 2024 Benefit Integrations. This one is important, especially if you are working with new vendors for 2024. Make sure they will get the data of your people! It also doesn’t hurt to regenerate any expiring PGP and/or SSH Keys for other integrations.
✅ Holiday Calendars. Who doesn’t love a day off? I mean, I know I do. The only thing better than a PTO day is one that you don’t have to request yourself 😉 aka company paid holidays 🌴. That’s right - holiday calendars! Thankfully, Workday has released a massive EIB with all holiday calendars in 1 file. Phew - because no one wants to manually research how many Bank Holidays the UK gets. Check out the EIB here.
✅ Clean up your reports. I cannot tell you how many temporary reports I have created this year. I also don’t want to tell you because I’m afraid of being chastised 🙈. Depending on who else has the access to create reports - you may have hundreds of useless reports in your Workday instance. Do everyone a favor and run the Delete Temporary Report Definitions task before the end of the year to clean up any of those pesky reports that no one is going to use. Take a step further and run the All Custom Reports report and delete any that haven’t been touched since 2015. Check with your team before doing so, obvi.
✅ Update announcements 🔊. It never hurts to review the announcements you’ve configured on your homepage. Make sure they are still relevant, and add new announcements that your user-base should be aware of for Q12024. Examples: W2 and 1095C release dates, All Company Meeting Dates, etc.
✅ Clean up your data. Take a minute to audit your supervisory organizations, cost centers, locations, open positions, and more. Inactivate any empty organizations and close any positions that have expired. Start the new year with as a fresh of a tenant as possible 🧹.
✅ Clear out old To Dos. To bring it full circle - are you still waiting for that new hire from 2021 to fill out all their inbox tasks? I’m telling you, that 🛳 has sailed. Clear out old To Dos by utilizing the Mass Cancel To Do task ☑️ I like to run this on ALL To Dos, and I clear out anything older than 12 months.
